Chalfont St. Peter Cricket Club: Minutes, 21st January, 2004

Present: Matthew Stevenson (chairman), Saqib Ahmed, Shabir Ahmed, David Banner, Mike Burge, Martin Cartledge, Tony Hewston, Zamir Khan, David Peters, Rahul Punj, Murray Scott, Dan Webb

Apologies: Simon Gooch

Matters Arising From Previous Minutes

• TVL relegation: Matthew Stevenson said that it would appear that the 1st XI has avoided relegation from Division 2B of the TVL, but this has not yet been confirmed.

Cricket Report

• Saturday 2nd XI Player Award: David Peters confirmed that Asif Raza was his team’s choice for 2003.
• Awards trophies: Matthew Stevenson asked David Peters to try to establish which trophies are missing. It is possible that they could be presented at the AGM, and engraved afterwards?
• Indoor nets: Saqib Ahmed said that he is trying to organise some sessions at Brunel University on Friday evenings.
• Overseas players: Murray Scott asked whether we were planning to have an overseas player in the 2004 season. Zamir Khan said that he had been making some enquiries, but that there would be no financial, accommodation or any other burden or liability on the club; he added that everyone was aware that we had had our fingers burnt once or twice in recent seasons.
• Juniors: in the absence of Phil Noot, there was no report.

Committee Structure, 2004

• Matthew Stevenson said that he would like to see three new positions created on the committee at the forthcoming AGM (see below). Martin Cartledge said that he thought we should be more assertive when trying to get the members to participate more in the running of the club.

Teams Manager

• Organise selection meetings when required.
• Deal with any issues which may arise.
• Manage each captain’s unavailability, for example, appoint a vice captain.
• Ensure that someone is always responsible for getting out a team for any given fixture.
• Give monthly report to committee.

Ground Manager

• Liaise with contractor re square.
• Liaise with contractor re outfield.
• Manage CPSA’s ground machinery.
• Liaise with fixture secretary and juniors manager.
• Give monthly report to committee with particular attention to financial budgets.

Fund Raising Manager

• Decide which events to run and find organiser.
• Deal with any high level issues, most especially risk.
• Give monthly report to committee.

Fixtures Report

• Progress: Dan Webb said that the fixture lists were almost complete.
• Sunday 1st XI: it was agreed that a having a few blank dates, before the start of the MASL season, would be no bad thing, as getting teams out at this time of the year last season had been very difficult, and we can always get CCC fixtures if there is a demand.
• Midweek fixtures: it was agreed that approximately four would be ideal, two of 1st XI strength and two of 2nd XI strength.

Ground Report

• New contractors: David Banner said that he is planning to go abroad for the next three months or so, and does not wish to continue as groundsman anyway, although he did volunteer to take on the role of Ground Manager (see above) on his return. With this in mind, the committee faces the following challenges:
• Square: the chemical to remove the thatch will be applied in the near future. Shabir Ahmed has expressed an interest in taking on the role of square grounsdman.
• Outfield: we will need an external contractor to cut the outfield. Chenies Landscapes are a possibility and have quoted £2100 for thirty cuts a year.
• Machinery: David Banner has very kindly given the club permission to use his machinery, with the proviso that we look after it and maintain it to its present condition, which would include servicing. In practice, we are only likely to use his square lawn mowers.
• Roller: Charlie Wooler has quoted £500 to put a new engine into the roller, which includes £400 for parts and £100 for labour. He will need a helper to carry out the work, and a weekend day in early February is the preferred date.
• Moles: Gerrards Cross Golf Club will attempt to deal with the latest moles to attack our outfield.
• Ground review: Matthew Stevenson said that, realistically, given that a) the square played poorly in 2003 and b) that little work and money has been invested in it during the winter, it is unlikely to play much better in 2004. He said that we need to water and roll it well during the pre season and then make some strategic plans for the end of season work and repairs in October, 2004.
• Covers: Rahul Punj said that he would organise some work parties to fit the guttering and wheels to the covers as soon as they are delivered to the club.

Treasurer’s Report

• Annual subscriptions: there is one outstanding debtor from the 2003 season, Gareth Noot, and Dan Webb is chasing him for payment.
• Current balance: Murray Scott said that the current balance was £132.
• TVL balls and handbook: Murray Scott said that we would need approximately £600 to pay this bill in April; he will discuss this with the CPSA financial director.
• Cricket balls: Matthew Stevenson asked Zamir Khan to buy 24 cricket balls i.e. four boxes, the next time he or family/friends go to Pakistan.

Fund Raising Report

• Fixture booklets: Zamir Khan reported that this idea was progressing well. The budgeted cost at the moment is circa £475, with £1500 confirmed advertisements and a further £300 unconfirmed. He asked all committee members to try to secure further advertisements and boost what is already looking like a good money spinner. A full page (A5) advertisement costs £100. Martin Cartledge said that he could help with the type setting.
• Euro 2004 Quiz: Matthew Stevenson said that Nigel Shaw had offered to run his football quiz for this event.

Social Report

• Mike Burge said that there were several social events coming up, including a quiz night and a race night. There were complaints that not enough notice had been given for the quiz night.

Any Other Business

• Missing photograph: Matthew Stevenson asked David Banner to chase up the photograph, which was lent to the TVL re the Burnham disciplinary incident.
• Softball: Martin Cartledge said that he was starting a new softball section within CPSA.
• Next meeting: this will take place on Wednesday, 18th February, 8.00pm, in the clubhouse.
