Amersham & Chalfont Hockey Club Minutes of meeting held on Thursday 17th February 2005

Present:
Sarah Watts (SW) Bob Hance (BH) Justin Bootland (JB)
Peter Colwill (PC)

Apologies:
Warren Scott (WS) Jo Peters (JP) Emma Hewitt (EH)
Ian Ringham (IR)

Minutes of last meeting & matters arising:
The minutes of the last meeting (20th January 2005) were accepted as correct.

Actions from previous meeting:
See committee actions spreadsheet.

Chairman’s report:
No report

Treasurer’s report:
The accounts are up to date as of Sat 12th, except 2 cheques written tonight. There is £12,984 in the bank.
One cheque to WS is still outstanding - to pay him back for cheques he has written on behalf of the club.
BH to update the accounts spreadsheet as items seem to be in the wrong place (Steve Jack’s training fees) & find out where the forecast expenses are (junior pitch cost, teas and training seem to be very low).
David Peters has done a 6-monthly check on the accounts.

Secretary’s report:
No post to note, no issues from SW.

Men’s Playing Report:
M1s were doing OK but have lost a few recently. 6-0 defeat to OMT was a bit shocking. Now 4th in league. Still in the EH Vase, now through to R4, playing Loughborough Town on 27th February at home.
M2s not doing so well and at the bottom of the division now. Defeated 10-0 by Sunbury last week. Availability issues continue and movement to the 1s.
M3s are 3rd from bottom with a game in hand.
M4s are in 5th place, could make 3rd. Younsters are coming along really well.
M5s had their first win in sometime, although lost the following week, 7 points adrift at the bottom.
Vints are in 10th place, quite happy. Withdrawn from Vintage Plate due to lack of availability & interest.

M4/5 dinner on 12th March at the club.

Some men have expressed dissatisfaction with the ladies 5s non-league games being played at earlier times than the Men’s league games (4.30 slot), particularly as the lighting is not brilliant. If pitch is between 2 teams, the higher teams should play at Newlands rather than BHS.

Men’s 4s would like some balls!

Umpire coordinator desperately needed for next year.

Ladies Playing Report:
No report
13th March ladies play Newcastle away in the quarter-finals of the Vase.

Junior Playing Report:
The Boys U15 are playing Eastbourne in the EH Plate at Newlands on 20th – supporters would be welcome. Girls are away to Nuneaton in their Cup game.

President’s Day:
JP to ask umpires for the ladies Mike Snell and Elaine Stamp
JB to ask Paul Haythornthwaite to do Vints/Boys
SW to ask Paul Adams to do Vints/Boys
WS to check with SS/CP

SW to check with Helen Kitto re teas – full teas all round

Annual Dinner Dance:
The posters up look very good.
BH has emailed Captains regarding tables. BH should have good idea of number of tables by end of February. For every extra table above 16 the club makes approx. £200 per table of 10.
There will be a bouncy castle for the day, marquee, tables/chairs, disco. Raffle being discussed with Catherine Watson. Invitation cards/tickets will be pre-numbered (proofed at the meeting – change to ‘The Chairman invites you’ instead of ‘The President’.).
BH to check extended license

Awards
Player of the Year x2
Most Improved Player of the Year x2
Clubman of the Year
Team of the Year
Team player of the Year x12

SW to ask WS for the guidelines for awards, these should be sent out to the Captains.

SW to get trophies given out last year
Playing Reps to get captains to sort out the team players of the year.

Date of AGM:
Subject to chairman’s approval, 13th May. SW to book with CPSA (& bar staff) as provisional for now.
SW to check with Bucks and any other things.

Roles for next year
Secretary - no
MPR – undecided, but probably yes
Treasurer – yes
General committee member PC – yes
To add to the agenda for next year when all are present.

Any Other Business:
Open Day for next year to go on the agenda for next meeting (dates).
First aid kits – WS emailed that it is now policy for us to have a first aid kit and the side of pitch for each game. There was a discussion on whether Heidi Frick could have some complete spare kits at thye club for Captains to swap when their were in need of a refill, however it was decided that Captains were probably better to emaiol/ask |Heidi for individual items for their current kit.

Date of Next Meeting:
Wednesday 16th March at the clubhouse. SW to book with CPSA.
